Scholastic Art Awards

My students are registered, the artwork is uploaded, NOW what?

See below for important final steps to the success of your students.

We are done, now what?:
  1. The first thing to do is sign in with your teacher email and password to www.artandwriting.org/registration
  2. Once you are signed in, go to the left hand side of your screen you will see a heading labeled, MANAGE.  Under manage, click on WORKS.
  3. Scroll down and you will see a list of all your students.  If the have a green box that says UPLOADED, all is well.  If they have a red box that says UPLOAD NOW, for some reason the work did NOT get uploaded. Check with that student and help them get the work uploaded correctly.
  4. After you have confirmed that all students have uploaded their work, you are ready to make a report.
  5. On the left hand side of your screen you will see a heading labeled, TOOLS. Under tools, click REPORTS.
  6. Reports will bring you to a page that will outline each student and their work.  You want to click the big yellow rectangle that says Export Results to Excel.
  7. You will have an Excel spreadsheet of all the students and the work from your school. Unfortunately, all the work will show up on the spreadsheet, from every teacher and all disciplines.  For example if a student entered writing it would show up on your spreadsheet.  This does not happen often but it can. 
  8. Sorting the Excel spreadsheet is the best way to determine the total number of works from your students.
  9. Make sure to sort by WORK TYPE as well.  This will bunch the portfolios together.  Portfolios will show up as 8 individual pieces.
  10. NOTE:  One of the columns in the Excel spreadsheets indicates that work was not received. This is an administrative column and does not mean the students work was not registered.  They should all say not received, unless the work was not uploaded and then it will say not uploaded, at which time you should upload the work.
Once you have done this you should have a clear picture of how many portfolios and individual works your students have registered. Take this number and put it down on the fee form. Individual entries are $5.00 and portfolios are $20.00. The fee form will help you calculate how much money in fees your students owe.

  • The Fee Form and one check for the total fees are all you have to send in this year. 
  • We will download spreadsheets to cross reference fees owed once we receive your fee form and check, postmarked January 17th, 2012. (if you want to send in the spreadsheet you printed that would be great (save a tree!)
  • You do not need to send a copy of the students registration. Wahoo!  Please continue to have the student print out one form, get a parent to sign it and return it to you.  We would recommend putting the form on the back of the artwork.
